Terms of Service

The rules governing Z4Host hosting, cloud servers, email, domain registration, management, support, billing, and related services.

Important. By ordering, using, renewing, or allowing use of a service, the customer accepts these Terms, the Privacy Policy, the SLA where applicable, the order description, and provider or registry rules that apply to the service.

1. Agreement and eligibility

These Terms form a binding agreement between the person or organisation shown on the order (“Customer”, “you”) and the Z4Host contracting entity shown on the order or invoice (“Z4Host”, “we”). If you act for an organisation, you confirm authority to bind it. You must be legally able to contract and provide accurate, current information.

Order-specific terms prevail over these general Terms for the same subject. Mandatory consumer rights that cannot lawfully be excluded remain unaffected.

2. Services, locations, and capacity

Z4Host provides or resells cloud hosting, servers, email, domain, management, and related services. Infrastructure is distributed globally, with principal presence across nine European countries, Singapore, Canada, the United States, and Dubai. We normally select the nearest suitable available region, but latency, route, stock, resilience, compliance, or maintenance may require another location. A requested location is binding only if confirmed in the order.

Resources, features, support scope, licences, backup, and management are limited to the purchased plan. We may make non-material technical changes, replace equivalent upstream capacity, or migrate a service where reasonably required for security, continuity, law, or performance.

3. Accounts and authorised users

You are responsible for account information, authorised users, passwords, API keys, recovery channels, and all activity performed through valid credentials. Use unique passwords and enable two-factor authentication wherever offered. Choosing not to use two-factor authentication is a customer-accepted security risk.

Notify us promptly of unauthorised access. We may verify identity and authority before changing ownership, contact details, domains, or security settings. Account sharing does not reduce customer responsibility.

4. Billing, renewal, and overdue process

Fees, currency, billing cycle, taxes, and due date appear on the order or invoice. Services renew for the configured cycle unless cancelled in time. The customer must maintain working contact and payment information and review invoices in the client portal.

Due dateThe invoice becomes payable.
Days 1–3 overdueA three-calendar-day grace period applies. The service remains subject to payment and reminders may be sent.
After day 3The affected service may be automatically suspended. Access, email, websites, and workloads can stop.
While unpaidThe invoice remains unpaid. We do not issue a later renewal invoice for the same service while the preceding renewal invoice remains unpaid.
At 365 days overdueThe service may be permanently terminated and its unpaid invoice cancelled in the same daily automation cycle where the dates align.

Suspension does not pause fees or extend the billing cycle. Reactivation may require full payment, verification, and restoration or reprovisioning fees. Availability of deleted data or the prior server address is not guaranteed.

5. First-month refund

30-day freedom to cancel. A customer may request cancellation and refund of an eligible newly purchased hosting or management service within 30 calendar days of the initial activation date, without giving a reason.

The refundable amount is the amount actually received for the eligible service, less non-recoverable payment-provider charges, transaction or network fees, chargeback costs, and taxes or government amounts that are not returned to us. We also deduct third-party amounts already irrevocably committed for domains, registry transactions, licences, certificates, dedicated resources, setup, migration, or measured usage.

Renewals and amounts outside the first 30 days are non-refundable except where mandatory law or the SLA requires otherwise. Refunds use the original payment route where feasible and may require identity and anti-fraud verification. The refunded service is terminated when the refund is approved. A refund request must be submitted through the client portal or info@z4host.com.

6. Domain registration and transfer

A domain order is a request only; no registration is guaranteed until the relevant registry confirms it. Domains are subject to ICANN rules where applicable and to registrar, registry, TLD, dispute, sanctions, and local requirements, which are incorporated to the extent applicable.

  • You must provide accurate registrant data, correct it within seven days after it changes, and respond to accuracy enquiries within fifteen days. Inaccurate or unverified data may cause suspension or cancellation.
  • You are responsible for renewal dates, payment, current contact details, nameservers, content, trademarks, and lawful use. Expiry notices are a convenience, not a substitute for your own monitoring.
  • Renewal, auto-renewal, expiry grace, redemption, restoration fees, and deletion timing vary by TLD and provider. Recovery after expiry is not guaranteed.
  • A registrar, registry, ICANN, court, dispute provider, or competent authority may reject, hold, lock, suspend, cancel, or transfer a domain under applicable rules.
  • Transfers depend on eligibility, lock status, authorisation codes, contact verification, dispute status, and provider processing. Completion dates are not guaranteed.
  • Domain and registry charges are refundable only to the extent that the upstream transaction is cancellable and the amount is actually recoverable.

Z4Host acts as an intermediary for domain services and is not responsible for registry policy, third-party claims, availability changes, or customer failure to renew.

7. Customer content, compliance, and backups

You own or control the required rights to your content and instructions. You are responsible for legality, licences, privacy notices, data-subject requests, security configuration, retention, export controls, and compliance in every location where you use the service.

Maintain independent, tested backups outside the production service. Unless a written order expressly includes a backup and restoration commitment, any snapshot or backup is best-effort and is not your guaranteed archive.

8. Acceptable use

You may not use a service for illegal activity, child sexual abuse material, exploitation, fraud, phishing, credential theft, malware, botnets, unauthorised access, denial-of-service attacks, spam, deceptive bulk messaging, intellectual-property infringement, privacy violations, sanctions evasion, or activity that materially harms the platform or others. Cryptocurrency mining, public proxies, scanning, or unusually intensive workloads require express plan permission.

We may investigate credible reports, preserve evidence, limit traffic, remove or disable affected material, suspend access, or cooperate with competent authorities. Where safe and lawful, we will seek customer remediation before permanent action.

9. Managed and unmanaged services

For an unmanaged service, Z4Host provisions the contracted infrastructure; the customer administers the operating system, applications, updates, firewall, users, passwords, malware response, backups, and recovery. The customer bears the risk of data loss or compromise caused by its configuration, credentials, software, failure to patch, or absence of tested backups, including during events outside reasonable control.

A managed service includes only tasks specifically listed in the order. “Managed” does not transfer ownership of customer applications or guarantee that every vulnerability, compatibility issue, or data-loss event will be prevented.

10. Email and credential security

The mailbox user must protect passwords, devices, forwarding rules, recovery accounts, and two-factor authentication. Our role is to apply the configured authentication and access controls and to treat a validly authenticated user as authorised unless notified otherwise. Credentials are protected using the access-control, hashing, or encryption capabilities of established hosting and billing platforms; this is not a guarantee against compromise outside our control.

We are not liable for leaked credentials, insecure devices, password reuse, customer-created forwarding, phishing, or actions by an authenticated user. We will not knowingly disclose credentials except when required to operate or secure the service or comply with law.

11. Suspension, cancellation, and termination

You may cancel through the client portal. Cancellation stops future renewal but does not erase charges already due. We may suspend immediately for non-payment after the stated grace period, security threats, abuse, legal requirements, or material breach. We may terminate after notice where reasonable, or immediately where delay creates material harm or is unlawful.

An unpaid service may be permanently terminated after 365 days overdue. Termination deletes or releases service data and resources and may be irreversible. Export all data before cancellation or termination. Provisions intended to survive—including payment, intellectual property, disclaimers, liability, indemnity, and disputes—continue afterward.

12. Upstream providers and force majeure

Z4Host resells or coordinates services operated in part by infrastructure, data-centre, network, registrar, registry, licence, and payment providers. Those providers control their facilities, networks, policies, and maintenance. Their commercial identities may remain confidential and are disclosed where required by law, a court or authority, applicable domain rules, transparency obligations, or service delivery.

To the maximum extent permitted by law, neither party is responsible for delay or failure caused by events outside reasonable control, including natural disaster, war, civil disorder, labour action, epidemic, utility or internet failure, cyberattack despite reasonable safeguards, governmental action, registry action, or upstream data-centre failure. We remain responsible for our own express duties and will use reasonable efforts to communicate and restore affected services.

13. Warranties and limitation of liability

Except for the express SLA and rights that cannot lawfully be excluded, services are provided “as available”. We do not warrant uninterrupted operation, universal compatibility, a specific search ranking, domain availability, immunity from attack, or recovery of data.

To the maximum extent permitted by law, Z4Host is not liable for indirect, incidental, special, punitive, or consequential loss; loss of profit, revenue, opportunity, reputation, or data; or acts of customers and third parties. Our aggregate liability arising from an affected service is limited to fees paid to Z4Host for that service during the three months before the event. This limit does not apply where exclusion is prohibited, including liability that cannot be limited for fraud, wilful misconduct, or death or personal injury caused by negligence.

14. Customer indemnity

To the extent permitted by law, the customer will defend and indemnify Z4Host and its providers against third-party claims, penalties, and reasonable costs caused by customer content, unlawful use, infringement, breach of these Terms, or violation of another person’s rights, except to the extent caused by Z4Host’s own breach or misconduct.

15. Governing law, notices, and changes

The agreement is governed by the law applicable to the Z4Host contracting entity identified on the order or invoice, without prejudice to mandatory consumer protections in the customer’s jurisdiction. Before formal proceedings, the parties should attempt good-faith resolution through support.

Notices may be delivered through the client portal, account email, or website. You must keep contact details current. We may update these Terms for law, security, provider requirements, or service changes. Material changes apply after reasonable notice; continued use after the effective date constitutes acceptance where permitted.
